  • Ask for a lien waiver as you pay each stage: in most US states an unpaid contractor or subcontractor can place a mechanic's lien on your home even if you already paid the main contractor, and a signed waiver is your protection.
  • Confirm they cover your area and can actually come out in your timeframe before anything else.
  • Read recent reviews for reliability and turning up on time, not only the quality of the work.
  • Agree the callout fee up front, and be wary of large upfront deposits for an emergency job.

  • Any technician handling refrigerant must hold an EPA Section 608 certification: it is federally required by law. Ask to see it.
  • NATE certification (North American Technician Excellence) is the leading independent proof of technician competency; a state HVAC or mechanical contractor license (for example CSLB C-20 in California) is required in many states: verify it.
  • For a new system, a proper load calculation (ACCA Manual J) should size the equipment: a contractor who just 'matches the old unit' often oversizes it.
  • Check they are an authorized dealer for the brand they install, since manufacturer warranties usually require registration by a qualified installer.

Warning signs of a rogue contractor

  • Cannot produce an EPA 608 card: they are not legally permitted to handle refrigerant.
  • Quotes a full system replacement without a Manual J load calculation or even measuring your home.
  • No permit for the install, or vague answers about who registers the manufacturer warranty.
  • High-pressure 'today only' pricing or a large up-front deposit.
